ReplyBump follows up on the proposals you already send. Here is exactly what that involves.
ReplyBump ("we", "us") provides a service that follows up on proposals and similar documents that businesses ("vendors") send to their own clients. This policy explains what we collect, why, and the choices you have.
Account information: your name, email address, business name, business postal address, timezone, and billing details (processed by Stripe). We never see full card numbers.
Documents you send us: emails and attachments you BCC, CC or forward to your ReplyBump address, including the client names, email addresses, dates, prices and other details they contain.
Your instructions: replies you send to ReplyBump emails, notes you add, edits you make to drafts, and your settings.
Usage data: pages you visit in the app and actions you take, to operate and improve the service.
We process the client contact details and proposal details contained in the documents you send us, the follow-up emails we send on your behalf, replies your clients send to those follow-ups, unsubscribe requests, feedback they choose to submit, and whether a follow-up was opened (an image request recorded when the email is displayed). You can turn this off.
We process client data only on your instructions, to follow up with the clients you sent proposals to. We never sell it, never email anyone you did not send a document to, and never combine one vendor’s client data with another’s.
ReplyBump does not connect to or read your email inbox. We only see emails sent to your ReplyBump address and replies to follow-ups we send for you.
To read your documents and write follow-ups in your voice, to send those follow-ups and stop them when a client replies, to show you outcomes and recovered revenue, to bill you, to secure and improve the service, and to contact you about your account.
We use AI models to extract details from documents and draft follow-ups. Your data is not used to train models for other customers.
We share data with processors that help us run ReplyBump, under contracts that limit their use of it: Supabase (database, authentication and file storage), Render (hosting), Resend (sending and receiving email), Stripe (payments), OpenAI (AI processing), and PostHog (product analytics, if enabled).
We keep your data while your account is active. After you cancel, your account stays readable for 90 days and is then deleted. If you delete your account, we delete your data immediately, apart from records we must keep for legal, tax or fraud-prevention reasons.
Do-not-contact requests from your clients are kept so we can honor them.
You can export your cards, edit or delete data in the app, turn off open tracking, and delete your account at any time from Settings. Depending on where you live you may have rights to access, correct, delete or port your data, and to object to certain processing. Clients of our vendors can unsubscribe from any follow-up with one click, or contact the vendor directly.
Data is encrypted in transit and at rest. Access is limited to people who need it to run the service, and administrative access is logged.
ReplyBump is a business service and is not directed to children under 16.
We will post changes to this policy here and notify account owners of material changes. Questions: privacy@replybump.com.
